Cancellation and missed appointment policy
We get that life happens. This explains how cancellations work, and how we try to be fair about it.
Last updated: June 2026
The short version
We ask for at least 24 hours notice if you need to cancel or change your appointment. For private appointments, a $50 fee may apply for cancellations inside 24 hours, or for an appointment missed without notice. If you wake up unwell or something genuinely unavoidable comes up, tell us as early as you can and we will work with you.
- Please give at least 24 hours notice to cancel or reschedule
- For private appointments, a $50 fee may apply inside 24 hours or for a no show
- Genuinely unwell or an emergency? Let us know early and we will be reasonable
- Feeling unwell? Please do not come in. We can switch you to telehealth or reschedule
Why we have this
When an appointment is cancelled at the last minute, that time is usually lost. It often could have gone to someone else in pain who is waiting to be seen. A short notice period lets us offer your spot to someone who needs it, and keeps our wait times down for everyone.
If you wake up unwell
Please do not attend the clinic in person if you are unwell, especially with anything that could be passed on. That protects our other patients and our team (see our infection prevention and control policy). Let us know as early as you can and we can usually move you to a telehealth appointment or reschedule, and we will not charge a fee for genuine illness.
Genuine emergencies
Life throws curveballs. If a genuine emergency stops you attending, contact us as soon as you are able. The fee is applied at our discretion, and we will not apply it where it would not be fair.
How the fee works
This fee applies to private appointments. The $50 covers the cost of the time we held for you, and it is not claimable from Medicare or your private health fund.
How to cancel or reschedule
The earlier the better. Call us on (02) 8330 6776, email [email protected], or use the link in your booking confirmation. If we do not answer, leave a message or send an email and the time on that message counts as your notice.
Repeated missed appointments
If appointments are repeatedly missed without notice, we may ask for payment at the time you book future appointments. We would always talk this through with you first.
